Guidance on how to return IT equipment

If you need to return broken, unused or old IT equipment, or if you're leaving Barnardo's, follow the procedures below. 

We can reuse or recycle equipment, which saves us money and helps us to share resources.

Please Note: This guide is for the return of IT equipment to Head Office only – please do not use this guide for anything else. ​​​

Equipment assigned to someone leaving Barnardo's

We are unable to leave equipment out in the field pending reallocation when someone leaves Barnardo's, all equipment assigned to someone who leaves Barnardo's, must be returned to Head Office immediately.

However, in certain circumstances equipment can be reassigned, for instance a duty phone or a printer. In this case please follow the Update My Kit procedure by going to 'FirstPoint / IS / Service Request / Update My Kit List'.

For responsible stewardship, please check FirstPoint for equipment assigned to you and if there are any errors, please contact the Service Desk to advise.

How to return equipment

There are two main processes for returning IT equipment. 

1. Returning equipment if you are leaving Barnardo’s 

Notify your line manager/HR of your intention to leave, and your departure is processed in Dynamics 365.

An automated email will be sent to your line manager confirming what IT equipment is assigned to you, and what you need to return.

Your line manager will work with you to arrange for the equipment to be returned on your final day.

2. Returning equipment if it is faulty

To return equipment which is broken or no longer working, you'll need to report the fault to the service desk in the first instance.  They will then perform some troubleshooting steps to see if they can resolve the issue. If they cannot, the call will be passed to the relevant support team who will then advise you on next steps.

Using our courier to return equipment

If you need to return any IT equipment to IT Supply based at Barnardo House in Barkingside, please follow these instructions for our new courier, DPD. There is also a downloadable guide at the bottom of this page.

Return procedure

  • Please return equipment promptly.
  • Package all of the equipment in suitable boxes with packaging. For most cases, you can use the box that the new equipment arrived in.
  • Please follow the below step by step guide to arranging your collection.
  • The DPD driver will have the address labels when they arrive for the collection.
  • For all parcels where the equipment contains a battery (laptops and phones) please copy and print the UN3481 label below and attach to the box. You can do this either by copying it into a Word document or opening the Returns guide at the bottom of this page. You may find your box already has one of these labels and, if so, that can be reused. Please ensure you do not stick anything over this label.

How to book a 3rd party collection with DPD Courier

Please follow the link at the bottom of this page titled, 'IT Supply Returns – updated June 2023for instructions. If you are unable to access this link, please contact your line manager for them to arrange collection.

Smartphones and tablets

We reuse or recycle smartphones and tablets that are returned, even those that are broken. This saves Barnardo's money and helps to reduce our environmental impact. 

The swapping of sim cards between devices is not allowed under any circumstances, this may result in a mobile phone number being ceased without notification.

Before returning a phone or tablet make sure you:

  • uninstall Company Portal (see guidance below)
  • delete your PIN password and iTunes or Google account (see guidance below)
  • reset your phone to factory settings (see guidance below)

You must do this  BEFORE you return a device to IT Supply or pass it to a colleague. Otherwise we cannot reuse or recycle the device. It is also to protect your privacy.
